Privacy Policy

Voxture is a voice-powered invoicing and expense assistant that runs inside Telegram. This policy explains what data we collect, why, who we share it with, and the rights you have over it.

1. Who we are

Voxture is operated by Innolabs Pte Ltd (innolabs.dev), the data controller for the personal data described in this policy. For any privacy question or request, contact us at privacy@innolabs.dev.

2. Data we collect

We only collect what is needed to provide the service:

Account & profile

• Your Telegram user ID, username, and display name.
• Your company profile: company name, registration number (e.g. KvK), tax/VAT ID (e.g. BTW), address, email, website, IBAN, and logo.
• Bot settings: language, country, currency, invoice numbering, payment terms.

Business records you create

• Customers you add (name, address, VAT number, email).
• Invoices and invoice lines (amounts, descriptions, VAT, dates).
• Expenses and receipts you submit (vendor, amount, category, the receipt image).

Content you send

• Voice messages — transcribed to text to extract invoice and report details.
• Photos of receipts — analysed to extract expense data.
• Text messages and commands you send to the bot.

3. How we use your data

• Transcribe your voice and read your receipts to create invoices, expenses, and reports.
• Generate PDF invoices and, if you choose, email them to your customers.
• Store your invoices, customers, and settings so you can manage them over time.
• Optionally sync invoices, customers, and expenses to your own Odoo system.
• Operate, secure, and improve the service.

4. Recipients of your data

To provide the service, we share the minimum necessary data with the following categories of recipients. Each acts as our processor and handles data only on our instructions.

A current list of named sub-processors is available on request from privacy@innolabs.dev. We do not sell your data, and we do not use it for advertising.

5. Legal basis (GDPR)

Where the GDPR applies, we rely on:

• Performance of a contract — to provide the invoicing and expense features you ask for.
• Legitimate interests — to operate, secure, and improve the service.
• Consent — for optional features you enable, such as email sending or Odoo sync. You can withdraw consent at any time.

6. Data retention

We keep your account, company profile, customers, invoices, and expenses for as long as your account is active, so your records stay available to you. Voice and photo files are processed to extract data and are not retained longer than needed for that purpose. When you ask us to delete your account, we remove your stored data within 30 days, except where we must keep certain records to meet legal or accounting obligations.

7. Your rights

Subject to applicable law, you may request to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these, contact privacy@innolabs.dev. You also have the right to lodge a complaint with your local data protection authority.

8. International transfers

Our processors may store and process data outside your country, including outside the European Economic Area. Where this happens, we rely on appropriate safeguards (such as the processor's contractual data protection terms) to protect your data.

9. Security

We use reasonable technical and organisational measures to protect your data, including encrypted connections to our processors and access controls. No system is perfectly secure, but we work to keep your data safe.

10. Children

Voxture is a business tool and is not intended for anyone under 16. We do not knowingly collect data from children.

11. Changes to this policy

We may update this policy from time to time. We will revise the "last updated" date above and, where appropriate, notify you through the bot.
